Car Rental Procedures

Resevation

Please provide us with the following information upon reservation:

  • Names / Your Name and Names of All Expecting Drivers
  • Contact Info / Your Phone Number
  • Pickup Date / Pickup Location
  • Return Date / Return Location
  • Desired Vehicle Model and Class
  • Desired Option(s)
  • Number of Passengers / Number of Children under age 6 (must use child seat)

Picking Up

Please notify the staff of your reservation upon your arrival and provide with the following requirements:

  • A valid driver's license (for all the expecting drivers)
    International Driver’s Licenses
  • Passport
  • Credit Card or Cash (An identification paper is needed for cash payment.) The estimated charge must be paid prior to your departure.

Before Departure
  • Ask any question regarding the Rental Agreement that you will be given upon your arrival at the shop.
  • Inspect the vehicle with the staff to see if there are any scratches or dents.
  • Sign the Rental Agreement.
Be sure to fasten your seatbelts as well as to adjust seat and mirror when driving.

Returning a Car
  • The rental vehicle will be filled with gasoline (diesel oil) at the time of departure.
  • Please fill the tank before you return.
  • Any excess or deficit will be adjusted after the staff checks the returned vehicle for any scratches or dents.
Be sure to take all of your belongings out of the vehicle.

Should the Following Events Occur

Car Accidents

Prioritize the life safety in case of an accident and deal with the situation with the following steps:

  1. Rescue the casualties
  2. Call the police
  3. Call the shop that rented you the vehicle
You must report the accident and have the certificate of accident issued by the police. (necessary for insurance coverage)

Rates

Payment

Pay the estimated rental charges based on the scheduled rental hours, options and etc, upon your departure.
Any excess or deficit will be adjusted upon your return.
Please note that the designated penalty will be charged should you exceed your scheduled rental hours without prior notice.

Gasoline Price

The rental vehicle will be filled with gasoline (diesel oil) at the time of departure.
Please fill the tank before you return.
If not, there will be an extra charge depending on the mileage.

Refueling facilities are available at the Asahikawa Airport Branch.

Rates for One-Way Rentals

There would be no charge if the returning location is within the same area as the pickup location.
However, the designated one-way rental fees will be applied if the returning location is in the different area from the pickup location.

Options and Other Charges

Additional charges include options such as 4WDs, child seats, tire chains, sheets, and tops as well as commissions for dispatch and pickup.

Car Troubles

When the malfunction or failure caused the vehicle, please contact the store departure.
We will make such arrangements for alternative vehicle as necessary.

Parking Violation

If you park the vehicles illegally, and were not able to process a violation before you return it, parking penalties set forth by our company, JPY 25,000 for standard vehicles and JPY 30,000 for middle-or large-sized vehicles, will be charged.
Furthermore, if you refuse to pay the fine or to process the necessary formalities, we will report your violation to the police, the public safety commission, as well as to the National Rent-A-Car Association.
This report will disable you for the future use of services provided by any of the affiliated rent-a-lease shops.

Your Responsibility for the Damage

Deductibles

You will need to pay the amount for the damage not covered by the insurance.

  • Property Damage: JPY 50,000
  • Car Damage: JPY 50,000 (JPY 100,000 for cars with the first number of 1 or 2 on the license plate)

Damages that exceed the insurance coverage

You will need to pay the amount for the damage not covered by the insurance.

  • Damage that exceeds the personal injury protection of JPY 30,000,000
  • In the case that the insurance is not paid, such as when the accident was caused by drunken driving.

NOC (Non-Operation Charge)

In the event that the car accident you caused necessitates the repair of the rented car, the following fees (tax-free) will be charged as part of the compensation for business during the repairing period.
This charge will be the same regardless of the degree of the damage and the time required for repair.

  • If the car CAN be returned by its own ability to the shop as planned: JPY 20,000
  • If the car CANNOT be returned by its own ability to the shop as planned: JPY 50,000
    ※JPY 50,000 will be charged if the car, though it is drivable, is not returned to the shop. (ex. when the car is left on the street.)

Cases that Insurance was not Paid

  • The accident was not reported to the police (when no evidence of the accident exists.)
  • The accident occurred when the rented vehicle was driven by a driver different from the declared driver at the time of departure.
  • The accident was caused by a driver without a driver's license.
  • The accident was caused by drunken driving
  • The accident occurred past the scheduled rental hours extended without prior notice.
  • Other examples include the violation of any item listed on the terms and conditions of the Rental Agreement and etc.

Insurance / Compensation System

Insurance amount of compensation

The following amount will be paid as compensation for an unexpected accident.

Bodily injury liability Unlimited per person
Property damage liability Unlimited per accident
Vehicle damage liability Actual value per accident (a charge of JPY 50,000 will be incurred for exclusion of liability; JPY 100,000 for minibuses and trucks with the first number of 1 or 2 on the license plate)
Bodily injury indemnity Personal Injury Up to JPY 30,000,000 per person※

※Compensation will be paid for injuries to passengers (including death and residual disability) regardless of the Comparative negligence (Up to JPY 30,000,000: The amount of damage will be determined by the insurance company based on the insurance clause.)

  • However, the amount of damage exceeding the insurance coverage as well as compensation shall be covered by yourself.
  • Insurance does not cover any accident that applies to the disclaimer in the insurance clause or that does not have a certificate of accident issued by the police.
  • Insurance also does not cover any accident occurred past the scheduled rental hours extended without prior notice.

Collision Damage Waiver (CDW) (Optional)

CDW fee is JPY 1,080per day (JPY 2,160 for cars with the first number of 1 or 2 on the license plate.) If you apply for CDW, you will be exempted from the above-mentioned responsibility for the damage.

TOYOTA relief double plan (Optional)

It's a plan that can be subscribed only when joining CDW.
When you join, Exclusion of Liability Compensation fee, NOC fee, damaged tire repair fee, tire exchange fee, price of lost wheel cap will be exempt.

  • When you exchange for a new tire, please contact the departure store in advance.
    In principle you should exchange for an equivalent tire. (in case of exceeding, you should pay for it)
  • There is a case where you need to pay temporarily the tire repair fee or tire purchase fee.
    We will settle the receipt at the store upon return.
